MAIN DUTIES AND RESPONSIBILITIES:
1.1.1Communicates all RFPs received directly from department with the Director of Sales/Marketing or Assistant Director of Sales & Marketing - for advice.
1.1.2Handles allRFP assigned by Assistant Director of Sales & Marketing and/or Director ofSales/Marketing
1.1.3Prior to preparing an offer, ensure that all necessary information about the event is obtained either from account manager or client direct.
1.1.4Prepares offer letters according to guest requirements and availability according to company standards and selling strategy.
1.1.5Follows up on offers sent promptly and systematically and within establish parameters, negotiate rates and amend offer sent, taking all necessary actions to secure the business.
1.1.6Maintains generating accounts through various sales activities (face to face sales calls, telephone calls, sight inspections, entertainment).
1.1.7Maximizes up selling opportunities by proposing additional events and activities suitable and complimenting to the MICE booking.
1.1.8Communicate the final details of all confirmed bookings to the Assistant Director of Sales & Marketing - for the contract to be prepared
1.1.9Obtain client’s signature on Booking Contract in a prompt and timely fashion.
1.1.10Maintains and updates the Sales & Catering – PMS - as per company standards.
1.1.11Inputs all bookings, including waitlisted and inquiry bookings in the PMS as per company standards.
1.1.12Obtains client feedback after each event verbally and through Thank You letter and Guest Questionnaire and communicate the same with all concerned.
1.1.13Ensures that the response to any business request is actions within 24 working hours.
1.1.14Arranges or conduct site inspections of hotel’s conference & banqueting department.
1.1.15Ensures that availability is checked with sister Hotels and alternative venues are recommended prior to regretting any booking.
1.1.16Maintains close communication with the Sales Team in the negotiation process of their bookings.
1.1.17Performs all duties & responsibilities in a timely & efficient manner in accordance with established hotel policies to achieve position objectives.
1.1.18Handles incoming calls and ensures messages are taken and details are forwarded to the person concerned.
1.1.19Attends departmental & communication meeting as requested by Assistant Director of Sales & Marketing and / or or Director of Sales/Marketing.
1.1.20Attends major events in hotel & city as requested by Department Head.
1.1.21Ensures that selling strategies are adhered to during negotiations and maximizes up selling opportunities whenever possible.
1.1.22Ensures comprehensive and up to date knowledge of properties’ unique selling points, features, amenities, services and policies with special emphasis on Conference Banqueting facilities.
1.1.23Ensures that Rixos Hotels Sales Policies and Standard Operational Procedures are adhered to at all times.
1.1.24To promote efficiency, confidence, courtesy and an extremely high standard of social skills.
1.1.25To generally promote and ensure good inter-departmental relations.
1.1.26To display a pleasant manner and positive attitude at all times and to promote a good company image to guests and colleagues.
1.1.27To demonstrate pride in the workplace and personal appearance at all times when representing the hotel thus identifying a high level of commitment.
1.1.28To adhere to Company and Hotel rules and regulations at all times.
1.1.29Maintains professional business confidentiality.
1.1.30Good knowledge of S&C, Microsoft Office & Microsoft outlook. Uses technology available for reports, communication and client correspondences.
1.1.31Flexible to adapt to sudden increase in working hours as per business needs
1.1.32To report any equipment failures/problems to the Maintenance Department
1.1.33To participate in any Training/Developments schemes as recommended by senior management
1.1.34To assist the Duty Manager in any task outlined/detailed by him/her.
1.1.35To comply with any reasonable request made by management to the best of your ability.
1.1.36To ensure that the standards required by Law and by Management are maintained at all times in the areas specified above.
