MICE | Sales Coordinator

We are currently seeking for passionate and dynamic Sales professionals who pride themselves on their ability to deliver extraordinary levels of customer service and provide creative solutions to our guests.

As a Sales Coordinator - MICE you are responsible to handle all the administrative requirements of the sales office whereby your role involves maintaining an organized, systematic and updated filing system in order to ensure easy accessibility to required data and avail loss of data from the hardware and will include key responsibilities such as:

  • To be a part of the banquets sales proactive and reactive team.
  • Has knowledge and is well versed with Opera – Sales and Catering System
  • Handle all incoming calls, walk-in and guest’s inquiries for the MICE Groups, Banqueting in accordance with the clients’ requirements:Ø Room booking Ø Booking of Space Ø Menus / DDR Package
  • Ensure that all correspondence and offers related to the sales team goes out within maximum of 24 hours
  • Prepare and MICE Sales team’s proposal, inputs the block in Opera, update the sales database system and ensure it is reviewed and properly checked
  • Maintain a prompt and accurate follow up and trace system for all correspondences
  • Prepare weekly Catering Forecast report for Revenue Meeting and submitted on time
  • Ensure that the catering weekly events report is generated and circulate to operational department on time
  • Generate reports groups and events block report each Tuesday
  • Prepares Group and Event (Meeting/Conference, Wedding, Exhibitions, etc) contracts from Corporate, Government and Leisure segments
  • Prepares all event documentation and coordinates that includes BEO, Voucher etc.,
  • Ensure policies and procedures are in place and adhered to maximize banquet and/or conference space availability.
  • Maintain high level service throughout pre-event, event, and post event phases of hotel events.
  • Regularly updating the Payroll System (Oasys) and generate monthly reports for submission to HR & Finance Dept.
  • Ensure that all equipment is in proper working order and cultivate care for all equipment used
  • Call on and develop relationships with new prospects in an effort to meet and exceed individual and department revenue expectations
  • To handle any other task assigned by the Senior Sales Manager – MICE and by the Head Department
  • Communicate well at all levels dealing with the various administrative demands placed by the pressurized working environment

Must Requirements:

  • Experienced Hotelier with great Food & Beverage knowledge
  • Has knowledge and is well versed with Opera – Sales and Catering System
  • Proficient in communication with a wide range of people. Has high level of English speaking and writing fluency
  • Ability to Multi-task and be flexible with working hours as per the operational need.
  • Must be in UAE and ready to join
