Purpose of Position:

Handle guest reservation queries with professionalism and in keeping with hotel rates and standards.

Position Mission/Overview:

The performance of this position affects guest satisfaction and an impression of the service the Hotel provides.This impression can lead to repeat business and reputation enhancements.

  1. Answer incoming reservation calls promptly.
  2. Check availability of rooms and be able to decide on the room position availability.
  3. Take down FIT reservation with all details on the computer.
  4. Modify and cancel reservations on the computer as necessary.
  5. Confirm waitlist or send a reply for a reservation as necessary.
  6. Sort out and file reservation correspondence.
  7. Up sell the rooms.
  8. Have a through knowledge of the establishment policies, especially regarding room bookings.
  9. Handle vouchers and advance payments.
  10. Reply to queries from guests regarding their reservation.
  11. Handle third party payment against room reservations.
  12. Download and print LHW and U tell bookings/ GDS and website bookings.
  13. Maintain a proper file of all the documents.
  14. To use e-mail for necessary correspondence and where applicable.
  15. To follow the entire reservations process according to the Genesis standards.
  16. Adhere to personal grooming as per standards laid down by the hotel.
  17. Ensure that uniform is clean and well ironed.
  18. Adherence to the guidelines mentioned in the TPAM and TCOC and thorough adherence to the IT etiquettes is to be followed.
  19. To perform such duties and observe and conform to such directions and instructions as may be assigned or communicated to you by the company or by such officers who are placed in authority over you.
