Equivalent of a College Diploma in Secretarial training

5 years relevant experience as an Executive Secretary position or similar preferably from an international 5 star hotel

Job Role
Composes, prepares routine correspondence for the General Manager’s signature.
Prepares, assembles and distributes various reports and documents as compiled by the General Manager.
Organizes daily incoming correspondence, makes preliminary assessment and handles/responds as appropriate, prepares simple interpretation of documents/correspondence if requested.
Receives and screens all incoming telephone calls and visitors to the Executive Office, provides/receives information or refers the matters to the proper persons to handle.
Keeps General Manager’s calendar constantly updated to facilitate appointment and meeting schedules.
Establishes and maintains various filing/records/database of business contacts, traces pending items and follows up as appropriate.
Functions as an administrative link between and among all levels of hotel employees, guests, tenants and external contacts to ensure that all parties receive the relevant information.
Arranges for various meetings, takes minutes, including board of directors meetings (bi-annual), monthly finance meetings and management team weekly meetings, as well as any management meetings as they arise.
Organizes business travel arrangements for the General Manager.
Prepares gift vouchers as requested by individual departments and business contacts and keeps an updated record master file.
Performs other duties as assigned by the General Manager.
