DUTIES/ RESPONSIBILITIES

:

  • To welcome each employee into the Human Resources Department to ensure their needs are being met.
  • To cascade the employees’ request to the relevant Human Resources Team member.
  • Daily sorting , replying and distribution of mail.
  • Preparation of Certificates & Letters as per request
  • Discussions of employees’ particulars and or situations should not be overheard or shared with anyone unless it is the Human Resources Team Member’s particular area of responsibility. Maintain Confidentiality at all times.
  • Ensure the work area is kept clean and welcoming.
  • Ensure that the appropriate Palazzo Versace boards/screens are up to date and tidy at all times with latest information.
  • To update and ensure that the presentation slide show of the Human Resources Department and information are showing at all times in heart of the house via computer/ Plasma screen.
  • To prepare & give out ID cards when requested by employees.
  • To communicate all necessary information to the concerned team members to ensure an efficient flow of information within the department- via emails/ Internal Communication platform/ posters.
  • To coordinate and follow up with respective departments and HODs for needed signature when required.
  • To provide any administration assistance in the HR department when required.
  • Ensure signs are placed on the front of the Human Resources doors when Human Resources are in briefings and meetings to inform employees that Human Resources will be able to attend to their needs ASAP.

·Prepare monthly birthdays and anniversaries posters

·Conduct HR Induction and joining formalities on weekly basis/ as scheduled

·Prepare and distribute birthday vouchers to all departments

·Coordinate with Executive office for length of service awards/ gifts.

·Coordinate with housing for DEWA bills and timely submission

·Take signatures on monthly phone bills of HR Team and submit.

·Filing of all New Joiners documents/ team members documents.

·All FMC Requests to be processed and approvals to be taken.

·Maintain inventory stationary and required office supplies at all times.

·Organising and supporting with Engagement activities for Team members.

·Prepare creative posters/ presentations for all events.

·Locker allocation and audits.

·Birthday celebration and planning for HR Team members

·Preparing welcome desk for new joiners in HR

·Tracking and Filing of any disciplinary letters.

·Planning and coordination for any event celebration/ activities for the team members.

·Distribution of Isoldi allocation on agreed intervals.

·To assist the housing team expense claims after verification.

·Updating cut-off attendance

·Updating Bank details in Oasys

·Proper passport and Emirates ID control; assisting team members to log when collecting and submitting passport copies

·To coordinate with Head of HR and Executive office for reciprocal vouchers and maintain tracking sheet.

·To coordinate with managers for Performance appraisals and tracking.

·Preparation, Ensure all signatures and filing of Employment contracts

·Any other tasks as assigned by the Head of HR/ Management.
