As Executive Assistant to General Manager, we rely on you to:

  • Coordinate the activities of the Executive Office in general administrative duties, and in matters pertaining to incoming and outgoing correspondences and visitors
  • Maintain diary, arrange meetings and appointments and provide reminders and follow-ups
  • Act as the administrative and communication point of contact between the Executives and Internal/External Clients, Regional/Head Officer Officers and Asset Management/Owners Office Officers
  • Receive and administer/assist incoming telephone calls for the Executive Office and takes messages as appropriate and follow up where necessary
  • Prepare reports, presentations and updates as requested by the Officers
  • Administer incoming and outgoing correspondence for the Executive Office and follow up where necessary
  • Take minutes of the Executive Office meetings as required by the Officers
  • Organize VIP reservations and coordinates the particulars including welcome cards, letter, and amenities with the concerned departments
  • Coordinate the Executive Office travel and accommodation requirements
  • Administer Executive Office routine claims
  • Act as an Administrative Consultant to Colleagues concerning general hotel matters and issues
  • Assist/educate the other Secretaries on any secretarial issues
  • Assist and support Executive Office with the social media monitoring and correspondence, sharing it with relevant hotel departments as required
  • Track and record the major follow-ups of the Hotel
  • Organize the training schedules of the Executive Office
  • Develop and carry out an efficient documentation and filing system in professional manner
  • Ensure par stock of the office supplies and equipments are maintained, managing it within expected expense guidelines
  • Actively work in maintaining the confidentiality, safety and security of the Executive Office at all times

We are looking for someone who:

  • Has a passion for providing business support to senior management 
  • Has proven experience as an Executive Assistant to General Manager. Preferably with UAE experience and holds University Degree
  • Is an advanced user of Microsoft Office suite
  • Is up to date with advancements in Office gadgets and applications
  • Communicates and writes with fluency in English
  • Has strong interpersonal, communication and organisation skills
  • Has the ability to multi task and prioritize daily workload
  • Has exemplary planning and time management skills
  • Has superior attention to detail 
  • Is professional, discreet and can handle sensitive information
