Job Overview
As the Events Coordinator (Arabic Speaker) , you will be one of the brand ambassadors for Amazonico Restaurant. Your main responsibility is to ensure that guests queries and requirements will be planned, organized and well presented at all times.
You will oversee all elements of event planning and coordinate with all departments that are involved to ensure satisfaction of the guests.
You are expected to manage each phase of the event to ensure it runs smoothly and to close out all payments once the event is over.
Amazonico Responsibilities
·To clearly discuss the event budget set out by the guest with management and staff to ensure efficiency
·To be able to consider the right venue/place as per the guest’s preferences
·To oversee each part of the event to ensure it runs smoothly until the very end and prepare/consolidate all reports for future references
·Making sure to plan the event with attention to financial and time constraints as per the Company policies
·Assist other departments and teams to ensure the timely completion of these activities
·To always be detail oriented and are diligent to ensure every aspect of a guest’s experience is exceptional, starting with the planning all the way through the execution of the event
·To build business and hit performance goals at all times
·To be responsible for implementing and holding strict standards for safety and sanitation
Departmental Responsibilities
·To act as the sales representative of the Company by ensuring guest preferences and requirements are adhered
·To assist and support the management head in terms of all logistics and required administrative related work
·Ensure to maintain proper documentation and feedback reports for future comparison and developments
·Assist the management on updating all guest’s relevant information to the system
·Perform and conduct thorough research in order to gain deep understanding of different requirements and details of each event
Role Responsibilities
·You will provide a courteous, professional, attentive and efficient service at all times with all departments and customers
·To well establish a good rapport and working relationship with all staff and all other departments
·To do show around of the possible venue and place for guest reference
·Ensure to properly draft and proposal agreement and secure signatories if needed
·To conduct final inspections on the day of the event to ensure everything adheres to the client’s standards
·Prepare and print the menu at least a few days before the event scheduled date
·Evaluating events through guest feedback and make proper changes and arrangements if necessary for the event to be more successful
·Ensure and secure related permits for the events if necessary
Operations
·To always act and perform accordingly to Amazonico standards
·Efficiently use reservation systems (take, confirm, amend, cancel reservations)
·To have a thorough knowledge of the menu, wine list, digestive and bar list of Amazonico Restaurant
·To be present on the time of the event to supervise and make sure everything goes as planned
·Monitor all correspondence to ensure it meets with Company’s policy and procedures
People Management
·To ensure and successfully follow daily duties and role responsibilities with team members
·To respond quickly and positively to changes within your job role, showing flexibility
·Analyse and address any concerns to designated departments upon guest feedback to ensure that next events will be perfected hosted
·Making sure that you work with pride and must have a tremendous work ethic that sets the tone for the team
Communication
·To liaise Finance Department and process all invoices to secure payments are with priority
·Understand requirements for each event and relay the exact information to all departments
·Ensure to communicate always to clients for any relevant updates, concerns, and arranging details so it will be sorted prior (if any)
·Ensure accurate follow up and communication both internally and to the client
Leadership
·To ensure all telephone calls and emails are handled politely and efficiently, providing correct and accurate assistance which meets customer inquiries
·You will be responsible to provide an overall excellent and consistent level of service to your customers by leading the event preparation and presentation
·Be attentive and offer probable solutions to resolve problems in a timely manner to avoid guest complaints that might lead to bad reviews
