Administrative Assistant - Front Office

Scope of role: Responsible for providing administrative and clerical services. Providing these services in an effective and efficient manner will ensure that Front Office operations are maintained in an effective and efficient manner.

Key Responsibilities:

  • To coordinate with colleagues in a friendly and courteous manner in order to ensure a good flow of communication to and from the Front Office Department
  • Attend all incoming and outgoing calls
  • Keeping employee attendance record
  • Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Publisher, etc., to produce correspondence and documents and maintain presentations, records and reports.
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management
  • Deal with queries from the public and customers
  • Prepare correspondence and documents
  • Organizing and storing paperwork, documents and computer-based information
  • Procure office furniture and supplies
  • Maintain electronic and hard copy filing system
  • Answer calls from customers regarding their inquiries
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • To ensure proper requisitioning, issuance, usage of office supplies and stationeries in order to promote conservational efforts in controlling of these supplies in terms of recycling and reusing
  • Coordinate the repair and maintenance of Front Office equipment
  • To handle all non-operational colleague requests and reroute to respective departments e.g. Salary certificates, accommodation issues, uniform requests, various complaints and clarifications in order to assist colleagues effectively and all are done according to the set procedures.
  • To maintain and update the department’s time clocking in/out system and ensure that the monthly attendance detail reports, sick leave forms, applied public holidays and lieu day forms are submitted on time based on salary cut-off to Human Resources Department in order to ensure no variance will occur and colleagues will get the exact payment.
