Job Summary

To assist the Director Procurement in managing and organizing the Main Store, Engineering Store, Receiving Dept., Corner Shop. Work closely with the Purchasing, Cost Control and other Department and Section Heads regarding goods received at the Resort. 

Key Duties and Responsibilities

  • Works directly with the Director of Procurement in managing the Store area.
  • Responsible for maintaining proper stock turnover and par levels.
  • Ensure proper ordering practices are followed and maintain proper inventory levels.
  • Ensure no stocks are expired and cleared with the concerned dept. well in advance before it expires.
  • Prepare slow/nonmoving reports are circulated and discuss with the department heads to move them out before it expires.
  • Ensure all month-end reports are done and submitted on time.
  • Ensure Corner Shop GRN and checked and proper pricing is followed and updated in the Fusion.
  • Ensure all stocks are stocked in a proper manner to follow the first in first out method.
  • Ensure all expiry dates are checked on a regular basis and necessary actions are taken to remove from the inventory.
  • Ensure all receiving GRNs are completed on posted on time in the MC system.
  • Ensure all freezers and chillers (including Corner Shop) temperature checking and recorded and monitored according to the audit standards.
  • Ensure all meat and seafood temperature checking is done at the time of receiving and proper records are maintained according to the audit standards.
  • Ensure all internal and external audit standards are followed.
  • Monitor the supply boat operation and ensure the cleanliness is maintained to receive goods in proper hygienic conditions.
  • Responsible of the cleanliness of the Stores.
  • Responsible all goods are received, checked, and handed over to the concerned departments and the necessary postings are done in MC system.
  • Ensure all cleaning, hygiene and audit records are checked and filed for audit reference.
  • Responsible for reporting the stock level of Diesel, Petrol and LG Gas to Director, Procurement and Director, Finance.
  • Monitors the store premises and managing the store and receiving team.
  • Ensure all goods are received according to the Purchase Order and the quality and standards are met.
  • Do the regular ordering and reordering of store items.
  • Assists the Finance Manager, Cost Control and other Finance colleague with whatever information relating to his area of work.
  • Keeping things in appropriate places in a hygienic way.
  • Monitoring day to day issues with all the outlets and attending to their requirements
  • Managing the unloading and loading of goods
  • Communicate effectively and reporting daily updates to Director Procurement
  • To prepare daily/weekly/monthly reports as needed.
  • Maintain full confidentiality over Store items and Resort’s financial status.
  • Maintain high spirit among the Finance Department colleague as well as other resort colleague.
  • Responsible for proper filing system in the Store area.
  • To work multitask jobs in the Store section.
  • Use creative and positive thinking. Throw new ideas for constant improvement of the Store system including internal controls.
  • Be prepared to do any other work within the department to assist other areas or in the event of other staff on emergency leave or when requested by Director Procurement.
  • Performs any additional duties and/or special projects as requested by the Director, Procurement and Director, Finance.
  • Maintain proper grooming standards

Skills, Experience & Educational Requirements

  • Skills – Communication skills and interpersonal skills
  • Knowledge in material handling procedure
  • Organize and has the ability to shelve, store and distribute materials
  • Computer literate
  • Experience in the same field is an advantage
  • High School diploma
