Administrator, Male Office

Job Summary

Work closely with Government Relations Coordinator and the Male Office team to communicate and coordinate the process and represent One&Only Reethi Rah if required on any government related mater. Oversees the payment of the Work permit medical and all kind of Visa administration ensuring all the processes and services are carried out efficiently, fairly and effectively with consistency. The Administrator, Male Office will be required to conduct duties in a courteous, safe and efficient manner ensuring that the highest level of service is maintained.

Key Duties and Responsibilities

  • Welcoming all the new hires on arrival and take the responsibility for them until they depart to the resort, maintains a highest standard of professionalism, ethics, and attitude toward colleagues and ensure that they receive warm welcome on arrival.
  • Assist Human Resources Department with new hire medicals work permit renewal medical from Male’.
  • Deal with health ministry and IGMH any medical issues and further investigations.
  • Handle / process all required documents and all formalities from ministry to deport colleagues if they are not fit to work as per immigration procedures.
  • Attend all colleagues emergency medical upon request from Human Resources Department /Resort clinic and arrange all necessary arrangements from Male’ side with permission from Human Resources Director or Manager.
  • Assist with Guest emergency medical if it doesn’t affect the daily Department operation.
  • Assist with Human Resources Department to do the attestation of contracts and any other documents from high commissions and other institutions and represent Human Resources Department regarding any employment related issues.
  • Liaise with Male’ Office Manager on deposit payments for immigration of new hires and visa transfers.
  • Process Business visa’s from permit section and attends business visa arrivals at the airport.
  • Process tourist visa applications from permit section and doing the necessary payments to Immigration
  • Process Intern’s visa from Ministry and submitting the required documents to immigration permit section and attending for their arrivals
  • Process dependent visa from permit section and doing necessary payments. And also renewing dependent visa before expiry.
  • Liaise with Human Resources Department to submit all the required Declaration form to permit section for those who visit Maldives Under friends and family.
  • Maintain In and Out going Co-Mail.
  • Deal with any other government office related with colleagues issue with approval from Director of Human Resources.
  • Assist Government Liaison Officer during his absence to carry out his tasks (i.e W/P card renewal, Deposit Refund and MIRA payments)
  • Assist with Male’ office team on any task allocated by Manager, Male office.
  • Be fully aware of all the policies and procedure and standard operating procedure of the Human Resources Department.
  • Maintain a sense of urgency with whatever task is required and work as a team.
  • Always follow the grooming standards. The goal is to present a clean, professional and natural appearance in both attire and personal appearance.
  • Be punctual, efficient and above all, courteous. Assume at all times a pleasing and helpful manner towards colleagues. 
  • Be aware of your work schedule and give adequate notice whenever serious circumstances prevent your adhering to your schedule.
  • Communicates promptly and efficiently, team member’s complaints and compliments regardless of employment level and treat in a fair and equal manner.
  • To work closely with the Human Resources Team with trust and treat colleagues with respect.
  • To carry out any other reasonable duties and responsibilities as assigned by HR Manager/Director.

Skills, Experience & Educational Requirements

  • Should have excellent communication skills and must be fluent in English.
  • Solid administration and computer literacy skills, particularly in MS Office.
  • Must be able to work in a team orientation.
  • Should be flexible and able to work in a multi-tasking role.
  • Should be able to work in a remote island location with a diverse team.
  • Should have minimum Diploma level education in a related field.
  • Should have minimum 2 year experience in a similar role at a five star hotel/resort.
