Qualifications

JOB SUMMARY
Performs daily quality checks, ensures that all tasks are performed to The Ritz-Carlton standards. Involves in scheduling and small projects to enhance the services of the department. Assists in servicing/sales with events of low complexity (up to 30 pax); Actively involved in driving Gallup MPCT and CCS performance scorecard for the team.

RESPONSIBILITIES
The primary responsibilities of the role include:

Job Functions
  • Handles all telephone calls in accordance with the hotel's standards, using a warm and sincere greeting, understanding / complying immediately with guests' needs and enquiries, answering within three rings, and recording all enquiries and messages in a proper and timely manner.
  • Handles guests' complaints in a congenial manner.
  • Provides administrative support for the Catering & Conference Services department (including proposals, contracts, Banquet Event Orders, etc..)
  • Ensures filing system must be accessible and accurate at all times.
  • Ensures a tracing system for follow-up work by the manager assigned to.
  • Maintains department's policies and procedures, training and development manuals, and relevant conference services reports.
  • Records minutes of department meetings, transcribes and distributes to all relevant parties.
  • Retrieves and delivers departmental mails.
  • Assists in the preparation of department's daily, weekly, monthly and yearly reports.

    Leadership
  • Ensures that office supplies and CCS-related materials/collaterals to support day-to-day CCS operations are available at all times.

    Communication
  • Ensures that all pertinent information is provided to bookers, guests and colleagues
  • Ensures that all communication with clients, guests and colleagues is complete, accurate, engaging and positive.
  • Participates in daily line-up and communicates all challenges and successes with the rest of the team
  • Reports promptly, accurately and consistently all guests' incidents and shares how they are solved
  • Attends designated meetings
  • Delivers all communication promptly (facsimile, memos, letters, etc.).
  • Keeps confidential documents, including accurate personnel file status of the department's employees, with the strictest confidence

    Others
  • Performs all tasks as detailed in daily task list
  • Familiarizes with department's processes, forms, requisition, Opera, etc…
  • Establishes and maintains a clean and professional work area at all times, including overall cleanliness of Catering & Conference Services office
  • P articipates in related project teams
  • Records monthly attendance in accordance to hotel procedures
  • Operates and maintains office equipment

PROFILE
Experience
  • Must have a minimum of (1+) of progressive years in administrative, customer contact or Catering & Conference Services experience

    Education
  • High School Diploma or equivalent required

    Required Skills
    • Ability to maintain hotel's standards, policies and procedure
    • Ability to maintain positive and engaging relations with all inquiries
    • Organized and focused in high stress situations
    • Proficiency in MS Applications, Sales & Catering Opera
    • Fluency in English language - both written and spoken
    • Ability to overcome objections and ability to up-sell
    • Ability to multi task and take on cross functional tasks when required

    • Great communication skills
