Job Level
• Attending group meetings and liaising with the Reservation Group Supervisor concerning all groups arriving at the hotel.
• Preparing rooming lists & check-in arrangements and double-checking all correspondence received from Reservations, Finance and the group organizers.
• Allocating rooms for groups, including aircrew, guests with special requests and VIP guests & preparing all necessary arrangements for pre-check-in of such guests/groups.
• Liaising with other F/O sections and hotel departments in regards to room allocation and checking of allocated rooms, e.g. GROs and Housekeeping.
• Liaising with other F/O sections and hotel departments in regards to arrival times, transportation requirements and welcome desks for groups and other guests.
• Ensuring that during a group’s stay the billing arrangements, correspondence and backups are always up-to-date and all rates are double-checked against available contracts.
• To liaise with Reservations and Finance regarding billing arrangements and production of the final bill for all groups.
• Chasing all missing backup and/or correspondence with other hotel departments or companies/bookers.
• To alert a member of the F/O management team immediately in case mistakes have been spotted.
•To prepare final group bills upon departure of the last group member, check them and pass them to a member of the F/O management team for double-checking before they are being send to Finance.
•Liaising with Finance and other hotel departments regarding all billing issues/mistakes after the departure of groups and/or other guests and coordinating the follow-up & correction of such issues.
