About the role

An exciting role has arisen in the Transportation department at Madinat Jumeirah for a highly motivated and hardworking individual. The main purpose of this position is to receive, review and book all transport requests sent by guest or internal departments, ensuring all information is correct, the same being updated in the TMS system, knowledge of opera – billing, posting and rebate, check traces to indentify additional transfers, resulting in a high level of service to our guests.

Your main duties will include:

  • Respond to emails, phone calls for transfer confirmations, Review and Plan the transport movement sheets for today and next couple of days.

  • Ensure all the information on the Transport Movement Sheet is correct and accurate, check traces fo additional request, and transfers updated in opera.

  • Reply to any guest enquires maintaining a professional manner and adhering to the Madinat Jumeirah Standards.  

  • Ensure all transfers request are updated in the job card in TMS.

  • Keep track off all the transport requests on daily basis, also update the transfers in opera and ensure charges are posted accordingly.

  • Ensure to update the daily movement sheet and send it to managers and airport team daily.

  • The Transport link is sent to the airport team on daily basis and coordinate with the airport team for VIP transfers and outsourced transfers.

  • To check the inbox every 10 to 15 minutes for all mail request and do the needful. Ensure email is replied within 30 minutes.

  • Airports pick up report to be checked for the day and the next couple of days in order to outsource if required.

  • Ensure cross charges are posted to relevant departments and package allocation posted as per the entiltlment.

  • Print the opera report every shift and coordinate with Team leader for transfers.

  • Email suppliers for transfer request and maintain a record of transfers which needs to be submitted to finance with back up.

  • Drop the Miscellanours voucher with back up to finance on daily basis, 

  • Prepare monthly reports for transfers, cross charges and rebates.

  • Liase with Front office and concierge for transfer bookings.

  • In coordination with team leader assit the team leader to perform task for smooth operations.  

  • Maintain a daily handover book.

  • Compete the check list for GSE’s while on shift.

  • Coordinate with Concierge for Marhaba/ Ahlan/ Al Majlis service requested to be booked.

  • Before finishing the shit check if all chargable transfers are being posted and package allocation posted accordingly.

  • Maintain grooming standards at all times. 

  • Assist the administrator for back Ups required and other task required for smooth operations

About you

In order to be considered for this role, you must have Guest Services experience in Front office or Transportation in a five star hotel or similar environment. You must be proficient in MS Office application. You must be at least high school graduate with excellent English communication skills. Multi-lingual applicant with good knowledge in Opera (PMS system) is essential.
