As a Meeting & Events Sales Coordinator, you serve as an integral part of the Sales & Marketing function by supporting the Sales, Meeting & Events Team.

Meeting & Events Sales Coordinator will perform the following tasks to the highest standards:

Tasks, Duties and Responsibilities:

Plans for and carries out work in accordance with the manual

Takes inquiries for MICE, BGR and LGR and converts them into sales

Prepares offers and contracts in line with the standards and manual

Maintains effective correspondence

Pre and post communication for all related events- working in conjunction with the meeting and events operational team

Contacting clients before they arrive at the hotel to conduct final detailed checks, to be a host on the day of the event, reviewing satisfaction levels and willingness to return and conducts follow up calls to ensure bills are received & correct and to secure the next booking

Achieves meeting and event goals by implementing the set strategies provided by the Director of Sales for Meeting & Events

Displays consultative and value added approach to selling

Assists in monitoring productivity and revenues goals by maintaining sales action plans

Actively seeks to interact with existing, potential and new clients by show-around, entertainments and lunches, if required

Solicits and follows up on business referrals and potential sales

Works actively to minimize complaints from guests

Sets up and maintains filing, trace and communication systems and follow- up procedures in line with the guidelines provided by the Director of Sales & Marketing and Director of Meeting & Events 

Maximizes guest satisfaction by communicating customer specifications to the meeting & events operational team and related departments via Banquet Event Order or MICE/ Group Action Plan in a timely manner

Reviews and documents guest specifications and suggests alternatives as appropriate

Informs guests of applicable laws and regulations, hotel policies and limitations within those guidelines

Ensures readiness and compliance in case of last minute changes to all relevant departments

Achieves profit goals by ensuring that negotiated rates are in line with the hotel profit objectives and any booking status is kept up to date

Coordinates credit for clients with the credit manager

Follows up on commissions and other fees paid to clients to ensure timely billing and payment

Provides Executive Chef and F&B Director with accurate forecasts by following up with clients on the number of delegates upon arrival

Follows up with clients to determine satisfaction, measures results and establishes strategies to improve the quality of the guest experience

Promotes the Hotel where additional business is discovered and refers business in a timely manner

Maintains effective correspondence

Job Requirements:

The ideal candidate will be a well presented, with an outgoing and friendly attitude.

With High School graduate or with Diploma in Hotel and Restaurant Management, Hospitality, Business Administration, Marketing Administration or related major certifications.

With at least 1 to 2 years experience in luxury hotel international chain in same position or similar role

Work well under pressure in a fast paced environment and be a great team player, who thrives in working with a multi-cultural team and guests alike, while possessing following additional competencies.
