PRIMARY OBJECTIVE OF POSITION
- To manage the sales administration and to support the Sales department in all administrative requirements.
- To be the key internal sales contact for all companies, agencies, airlines and wholesalers in the absence of the Sales Manager/DOSM responsible for their account.
- To be accountable for the smooth and efficient running of the sales department, including communication, administration and marketing.
All work is carried out in line with hotel’s guidelines and sales business plan, and the Hotel Group corporate guidelines and service concepts.
TASKS, DUTIES AND RESPONSIBILITIES
MAXIMISES HOTEL REVENUE FOR CONFERENCE & EVENTS
o To organise all FAM trips, site inspection, in – house sales calls, to be the key point of contact for the external organiser of the event and internal communications within the hotel. Communication both formally in writing and verbally, including pre-qualification of the event and post event de-brief along with the Sales Manager and participate where required.
o To compile all standard letters, templates and statistics for use within the department, and oversee that all correspondence is in accordance with the hotel & departments standards
o To undertake general office duties i.e. typing, filing, telephone calls, emails and faxes, daily post, ensure all telephones are answered and messages are taken and calls returned
o To ensure all internet sites and websites featuring the property are updated with the correct information at all times
o Manage company files and databases ensuring that all items are up to date and fully completed
o Manage the Request for Proposal system, organising submissions and ensuring they are completed by the deadlines required, offering rates as advised by the DOSM/Revenue Manager, chasing on a weekly basis and updating, and creating files in accordance with the agreed system
o Compile a Weekly Schedule Report, on Friday of each week, for communication of the following weeks activity for all members of the sales department, and distribution to all relevant departments/persons
o Stock control management, purchasing, pricing and distribution control of all marketing collateral, promotional items and give-aways
o Ordering and distribution control of all marketing collateral’s and stationary
o The updating and management of all mailing lists within the sales department
o Compilation of all contracts for all market segments, as required by the DOSM
